Headquarters and National-Level Requirements.

At the national level, the verification stage focuses mainly on confirming the applicant’s identity and educational background.

Four key identifiers are required:

  • College Index Number/Certificate.
  • National Service Scheme (NSS) Number/Certificate.
  • National Teaching Council (NTC) Number/Certificate.
  • Ghana Card Number.

These details help the service cross-check academic records, national service history, and licensure status.

The Ghana Card number is especially important, as it is tied to national identification and payroll data systems.

GES states that these identifiers must match the applicant’s existing records before any further processing can be done.

Regional-Level Requirements.

The second stage of verification occurs at the regional education office.

This stage focuses largely on validating certificates, eligibility, and health requirements.

Applicants must present the following documents:

  • Original coloured Appointment Letter.
  • Original Acceptance Letter.
  • College Certificate.
  • WASSCE Certificate.
  • Junior High School Certificate (if requested).
  • NSS Certificate.
  • NTC License Certificate.
  • Medical Report.

  • Ghana Card.
  • SSNIT Number.

Regional directors use these documents to confirm the authenticity of the applicant’s certificates and to determine compliance with the professional standards set by the service.

The medical report is required to verify physical fitness for duty, while the SSNIT number is used for pension and social security records.

District-Level Requirements.

The final stage takes place at the district office, where applicants are expected to submit four copies of a broader set of documents.

These include:

  • Original coloured Appointment Letter.
  • Assumption of Duty Form (issued by the posting school).
  • Original Acceptance Letter.
  • College Certificate.
  • WASSCE Certificate.
  • Junior High School Certificate (if requested).
  • NSS Certificate.
  • NTC License Certificate.
  • Medical Report.

  • Ghana Card.
  • SSNIT Number.

District offices compile and manage these documents for posting, payroll activation, and personnel filing.
